Managing the impact of the Coronavirus
As we come to the end of the second working week affected by substantial Government restrictions, I thought it appropriate to update our customers on various factoring issues that may be affecting them.
My priorities continue to focus on the health and safety of my staff, our customers and the contractors instructed on your behalf. Our team continues to operate remotely and are busy talking and engaging with customers, ensuring awareness of disruption to any regular maintenance or service supply arising from the Government restrictions and fielding any questions.
To recap our current communication strategy, I would note the following:
- If any customers are without access to email, they can leave a telephone message on our main telephone and a member of our team will call back as soon as possible.
- Our Property Managers continue to be available via their Direct Dial telephone numbers and email addresses.
- Our main email addresses email@example.com and firstname.lastname@example.org are reviewed regularly with queries being passed to the relevant team member to respond. I am happy to see many customers contacting us this way.
- The contractors in place to assist our customers in the event of an emergency affecting their common property have confirmed they remain operational and have already assisted many of our customers in undertaking essential repairs to their properties
Following on from my previous call for help for email addresses to be provided to us, I have been encouraged by the response and would urge all customers, who have yet to do so, to email their Property Manager or one of the email addresses above. It would be even better for our customers to access their My H&P App or web portal, where all important information and development news can be accessed.
Whilst we continue to contact homeowners electronically where there has been disruption to any of the regular services we instruct on their behalf, I thought it would be of benefit to provide all customers with an update on the general position being taken by many of the regular service contractors that may visit their common property.
Fire Fighting Facilities
Following the UK Governments guidance from 25th March, we have been advised that inspection and maintenance visits will continue as planned.
Lift Maintenance Inspections and Maintenance
We have been advised that due to the Governments restrictions, both inspections and maintenance visits are suspended. Contractors will remain available to undertake emergency call outs.
We have been advised that as there has been no formal guidance on the subject of cleaning with communal stairwells, continuation of, or amendment to, services is dependent on the contractors instructed. Where contractors continue to provide a service, we have been advised that this on the basis that their operatives are following all Government recommendations, including social distancing measures. Confirmation of any service suspensions will be uploaded to our customers My H&P App and Portal.
Common Ground Maintenance
Based on the commentary coming from the Scottish Government, many contractors have confirmed to us that they are continuing to provide a full, or amended, service. Where contractors continue to provide a service, we have been advised that this on the basis that their operatives are following all Government recommendations, including social distancing measures. Confirmation of any service suspensions will be uploaded to our customers My H&P App and Portal.
For developments served by a Play Area (s), the appointed contractor has confirmed that, in their opinion, the Government have been clear and unambiguous in their recommendations that Play Areas should not be used.
The contractor has advised that it is not possible to police every Play Area or secure every play area and therefore all homeowners must take responsibility for ensuring they, or any of their family members do not use the Play Areas until the restrictions are lifted and that all homeowners should report usage to the Police, should they believe it appropriate.
The contractor has also confirmed that the regular inspections will continue, in keeping with current Government guidelines, to ensure the integrity of the Play Areas remains unaffected.
Common Buildings Insurance and Property Owners Liability Insurance
The most recent Glasgow tenement fire brought home, once again, the importance of ensuring adequate insurance cover is in place and, where we administer an Insurance policy on homeowners behalf, I am happy to advise that these policies remain in place and both our teams (for common claims) and the claims handlers (for private claims) remain available to facilitate the intimation of any claims.
